File & Data Rules
File & Data Rules
Last updated: 9 September 2026
Please read these rules before sending files to FAFF IT OFF. They form part of the way we accept and handle customer material.
1. Send us what we need, not everything you have
Please remove information that is not necessary for the job where reasonably possible. If we only need product names and prices, for example, do not send an entire customer database.
2. You must have permission
By sending material to us, you confirm that you are entitled to provide it and to authorise us to use it for the requested work. If it contains personal data about other people, you are responsible for ensuring that sharing it with us is lawful.
3. Do not upload these without prior agreement
Please do not send passwords or login credentials, payment-card numbers or security codes, copies of passports or driving licences, medical or health records, children’s personal information, criminal-offence information, biometric data, highly sensitive financial information, or other special-category or unusually sensitive personal data unless we have expressly agreed beforehand that the job can be accepted and appropriate safeguards are in place.
4. File uploads
The FAFF IT OFF quote form currently accepts multiple files, with a maximum of 10 files and a maximum size of 10 MB per file. WordPress and Forminator may refuse file types that are blocked for security reasons. If your files are too large or unsuitable for the form, contact us before sending them another way.
5. How we use your files
We use files only as reasonably necessary to assess, quote, perform, quality-check and deliver the requested work, and to deal with support, disputes or legal obligations. We do not claim ownership of your source material.
6. Where uploaded files go
Files uploaded through the FAFF IT OFF form are stored on the website hosting as part of the relevant Forminator submission. We receive an email notification that a submission has arrived, but uploaded customer files are not currently attached to that notification email. We access the files through the stored submission when we need to assess or perform the job.
7. Tools and service providers
Some jobs may use specialist software, automation or AI-assisted tools. We assess whether a tool is appropriate for the information involved and will not deliberately put customer material into a service where doing so would be incompatible with our data-protection obligations or our agreement with you.
8. Retention and deletion
Our standard rule is to remove customer working files from active job systems within 30 days after completion of the job, unless the law requires us to retain them, they are reasonably needed to resolve a dispute, or we have specifically agreed a different retention period with you. Forminator is configured so that deleting the relevant stored submission also deletes its associated uploaded files.
This 30-day working-file rule does not mean accounting, quote, transaction or other business records are deleted after 30 days. Those records may need to be retained separately for legal, tax, accounting or dispute purposes.
9. Keep your own originals
Please keep your own copy of anything important. Unless expressly agreed as part of a service, FAFF IT OFF is not a permanent file-storage, archive or backup service.
10. Malware, unsafe or unlawful files
We may refuse, quarantine or delete files that appear malicious, unsafe, unlawful or unrelated to the agreed job. Do not deliberately send malware, executable code intended to cause harm, stolen material or content you are not entitled to share.
11. If you are unsure
Use Contact the Faffer or email hello@faffitoff.co.uk before uploading the file. Tell us what kind of information it contains without sending the sensitive material itself, and we will tell you whether we can accept it.
For more information about personal information, see our Privacy Policy. Business customers providing personal data for us to process on their instructions should also read our Data Processing Terms.
