1. Information we collect
Depending on how you use the site or work with us, we may collect your name, contact details, business details, enquiry and quote information, job instructions, correspondence, transaction and payment records, technical website information, and files or data you provide for a job.
If a business customer gives us personal information about other people as part of a job, we may also receive personal data from that business rather than directly from the individual concerned.
2. Why we use personal information
We use personal information to respond to enquiries, assess and quote work, enter into and perform contracts, deliver completed work, communicate about jobs, record payments, keep accounting and tax records, provide support, secure our website and systems, prevent misuse and fraud, establish or defend legal claims, and comply with legal obligations.
3. Lawful bases
Depending on the activity, we rely on one or more of the following lawful bases: taking steps at your request before entering a contract; performance of a contract; compliance with legal obligations; and our legitimate interests in operating, securing and improving the business, communicating with customers and protecting our legal rights. Where the law requires consent, for example for certain optional cookies or direct marketing, we will ask for it and you may withdraw it at any time.
4. If you do not provide information
You are not generally under a legal obligation to provide personal information to us. However, if you do not provide information or files that are reasonably necessary to assess or perform a job, we may be unable to quote for or provide the service.
5. Files and sensitive information
Please send only information reasonably necessary for the job and follow our File & Data Rules. You must have the right to provide the files and information you send. Do not send passwords, payment-card security details, highly sensitive identity documents, medical records, children’s personal information, criminal-offence information, biometric information or other special-category or unusually sensitive personal data unless we have expressly agreed in advance that we can accept and protect it.
If a business customer gives us personal data solely so we can perform work on its documented instructions, that customer may be the controller and FAFF IT OFF may act as its processor. Our Data Processing Terms apply where required.
6. Software, automation and AI-assisted tools
Some jobs may use software, automation or AI-assisted tools to help perform or quality-check work. We assess whether a tool is appropriate for the information involved and use customer material only for the agreed purpose. We do not knowingly use customer personal information to make solely automated decisions about individuals that produce legal or similarly significant effects.
7. Who we share information with
We may use selected service providers to operate the business, including website and hosting providers, email services, payment providers, accounting services, security and backup providers, cloud software, automation services and AI-assisted tools used for relevant jobs. We share only information reasonably necessary for the relevant purpose and use appropriate contractual and security arrangements where required.
We may also disclose information where required by law, to regulators or law-enforcement bodies where legally required, or where reasonably necessary to establish, exercise or defend legal claims.
8. International processing
Some technology providers may process information outside the UK. Where UK data-protection law requires safeguards for an international transfer, we will use an appropriate lawful transfer mechanism, such as an adequacy regulation or approved contractual safeguards. You may contact us if you want more information about safeguards relevant to your data.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, tax, accounting, dispute and security requirements.
Our standard rule is to remove customer working files from active job systems within 30 days after completion of the job, unless the law requires us to retain them, they are reasonably needed to resolve a dispute, or we have specifically agreed a different retention period. Enquiry records that do not become jobs may normally be kept for up to 12 months so we can manage follow-up and disputes. Contract, quote, correspondence and transaction records may be retained for longer where reasonably necessary to meet tax, accounting or legal-claims requirements.
10. Website technology and security
Jetpack remains active for selected website and account-security functions, but Jetpack Stats and WooCommerce Analytics are disabled. We do not currently use Google Analytics, Meta Pixel or similar advertising or visitor-profiling tools on the public website.
The current website theme loads a Tailwind CSS browser script from the jsDelivr content-delivery network. When your browser requests that file, the CDN may receive standard technical request information such as IP address, browser information and request time. We use this only to deliver the website asset, not to profile visitors or for advertising. Our Cookie Policy explains cookies and similar technologies used by the site.
11. Security
We use appropriate technical and organisational measures designed to protect personal information, including access controls, secure hosting and reasonable data-minimisation practices. No online system is completely risk-free, so please do not send unnecessary sensitive information.
12. Your rights
Depending on the circumstances and the lawful basis we rely on, UK data-protection law may give you rights to access your personal information, correct inaccurate information, request erasure, restrict processing, object to certain processing, and receive certain information in a portable format. Where we rely on consent, you can withdraw that consent at any time.
Your right to object: where we rely on legitimate interests, you may have the right to object to that processing. If we ever use personal information for direct marketing, you can object to that use at any time.
To exercise a right, use Contact the Faffer or email hello@faffitoff.co.uk. We may need to verify your identity before acting on a request.
13. Complaints
You have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. We would appreciate the opportunity to deal with your concern first, but you do not have to contact us before complaining to the ICO.
14. Cookies
Our separate Cookie Policy explains how the website uses cookies and similar technologies and how choices can be managed.
15. Changes to this policy
We may update this policy when our services, technology or legal obligations change. The latest version will be published on this website with an updated date.
